Terms and Conditions

 

Best Tax and Notary Services

1. Acceptance of Terms


By scheduling an appointment, submitting documents, or engaging Best Tax and Notary (“Company,” “we,” “us,” or “our”) for tax preparation or related services, you (“Client,” “you,” or “your”) agree to these Terms and Conditions. If you do not agree, do not use our services.


2. Scope of Services


We provide tax preparation, filing assistance, and related services for individuals and/or businesses based solely on the information you provide. Our services do not include legal advice, financial planning, or audit representation unless expressly agreed to in writing.


3. Service Delivery Methods


We offer the following service options:

     a. In-Person Services

     Services provided at our physical office location by appointment.

     b. Remote / Online Services

     Services provided through secure online portals, email, video conferencing, phone, or other  electronic means. You are responsible for providing accurate documents in a timely manner and ensuring access to required technology.

     c. Hybrid Services

     A combination of in-person and remote services, as agreed upon. You acknowledge that remote and hybrid services involve electronic transmission of sensitive data and consent to such communication.


4. Client Responsibilities


You agree to:

  • Provide complete, accurate, and truthful information 
  • Submit all requested documents promptly 
  • Review your tax return carefully before signing or authorizing filing.  
  • Retain copies of all tax documents and filed returns.  


You acknowledge that you are ultimately responsible for the accuracy of your tax return, even if prepared by us.


6. Accuracy of Information

We rely entirely on the information you provide. We are not responsible for errors, penalties, interest, or additional taxes resulting from:

  • Incomplete, inaccurate, or misleading information 
  • Failure to disclose income, deductions, credits, or relevant documents 
  • Changes in tax laws or guidance after preparation

 

7. Fees and Payment


  • Payment is due prior to filing or upon completion, as specified 
  • Fees vary based on the complexity of the return and services requested  
  • All preparation fees are non-refundable once services have begun, except where required by law 
  • All preparation fees are non-refundable once services have begun, except where required by law
  • A consultation fee of $30 is required at the time of appointment scheduling.
  • This fee is non-refundable, including for missed or canceled appointments. 
  • The consultation fee does not guarantee tax preparation or filing services.  
  • Additional fees will apply if you proceed with tax preparation services
     

8. Credit/Debit Card Surcharge


Payments made by credit or debit card are subject to a 4% surcharge.
This surcharge does not apply to cash or other accepted payment methods where permitted by law.


9. Refund Advance Services


If offered, refund advance services:


  • Are optional and provided through third-party financial institutions
  • Are not guaranteed and subject to lender approval
  • May involve additional terms, fees, interest, or eligibility requirements set by the lender


We do not control approval decisions, funding timelines, or lender terms and are not responsible for delays, denials, or lender actions.


10. Filing Authorization


You authorize us to electronically file your tax return only after you have reviewed and approved the final version. Electronic authorization constitutes your legal signature.


11. No Guarantee of Refunds or Outcomes


We do not guarantee:

  • Any refund amount
  • Acceptance of your return by the IRS or other taxing authorities
  • Protection from audits, penalties, or interest 

Tax outcomes are determined solely by applicable tax laws and government agencies.


12. Audits and Examinations


Our services do not include audit defense or representation unless separately agreed to in writing. Audit assistance, if requested, will be subject to additional fees.


13. Confidentiality and Data Security


We take reasonable measures to protect your personal and financial information. However, no electronic transmission method is completely secure, and you acknowledge and accept this risk when using remote or online services.


14. Limitation of Liability


To the fullest extent permitted by law:

  • Our liability is limited to the amount of fees paid for the specific services provided
  • We are not liable for indirect, incidental, consequential, or punitive damages 
  • We are not responsible for penalties, interest, or losses resulting from information you provided
     

15.Indemnification


You agree to indemnify and hold harmless Best Tax and Notary from any claims, damages, penalties, or expenses arising from:

  • False, incomplete, or misleading information you provided 
  • Your failure to comply with tax laws 
  • Your breach of these Terms
     

16. Termination of Services


We reserve the right to refuse or terminate services at any time for lawful reasons, including non-payment, failure to provide required information, or suspected fraud.


17. Governing Law


These Terms are governed by the laws of the State of Ohio, without regard to conflict-of-law principles.


18. Dispute Resolution


Any disputes shall be resolved through [mediation / arbitration / courts] in Hancock County, Ohio, unless otherwise required by law.


19. Amendments


We may update these Terms at any time. Continued use of our services constitutes acceptance of the updated Terms.
